Who we are

The Liberation Club Ltd is responsible for the personal information described in this notice.

Information we collect

The information we collect depends on how you interact with The Liberation Club.

If you contact us

If you use our contact form, we collect:

• your first name;
• your last name;
• your email address; and
• the contents of your message.

Our contact form is provided using SureForms. The submission is stored in our WordPress website database, which is hosted by Krystal Hosting, and a copy is sent to us by email and managed through Gmail.

SureForms may also record limited technical information associated with the submission, such as the page from which the form was submitted, browser information and device information.

We have tested the form both while logged into and logged out of the website. The SureForms submission record does not currently store the visitor's IP address. Our hosting and security infrastructure may nevertheless process technical information such as IP addresses as part of ordinary server, security and operational logging.

We use contact-form information to respond to your enquiry and manage any resulting correspondence.

If you join our waiting list or subscribe for updates

Our waiting list and email subscriptions are managed using Substack.

When you choose to subscribe, Substack processes information associated with your subscription, including your email address and any other information you choose to provide through Substack.

We use this information to send the updates you have chosen to receive.

Joining the waiting list or mailing list is separate from contacting us or buying a publication. We do not automatically subscribe you because you contact us or make a purchase.

You can unsubscribe using the unsubscribe facility provided in Substack emails. Substack also processes information under its own privacy terms.

If you buy a digital publication

When you buy a digital publication from The Liberation Club, we collect and retain information needed to process and administer the purchase. This may include:

• your name and email address;
• the publication or other item purchased;
• the amount and currency;
• transaction and payment-status information;
• transaction identifiers supplied by our payment provider;
• purchase, payment and access timestamps; and
• information required to provide or recover access to your digital purchase.

We use Stripe to process payments.

Stripe receives the information necessary to process the transaction and collects your payment-card information directly. The Liberation Club does not receive or store your full payment-card details.

Stripe may process personal information for its own regulatory, fraud-prevention and payment-processing purposes under its own privacy arrangements.

After a successful purchase, we use your email address to send purchase-related messages, such as confirmation and access information. These are service messages relating to your purchase, not marketing messages.

Digital publication access and recovery

Our website keeps information necessary to recognise a valid purchase and provide access to digital publications.

Download links may expire for security reasons, but this does not necessarily mean that the underlying purchase has expired. Where our service allows purchasers to request a new access link, we may retain the minimum purchase and access information necessary to provide that service.

When access-recovery features are used, limited technical information may also be processed temporarily to prevent misuse or excessive automated requests.

Website and technical information

When you visit our website, our hosting provider and website infrastructure may process limited technical information necessary to deliver and protect the website. This can include information such as IP address, browser or device information, requested pages, timestamps and server or security logs.

We use this information where necessary to operate the website, maintain its security, diagnose problems and prevent abuse.

Why we use your information

We use personal information only where we have an appropriate reason under UK data-protection law.

Providing products and services

Where you buy a digital publication, we use the information necessary to process the order, take payment, deliver the publication and provide continuing access because this is necessary to perform our contract with you or take steps you have requested in connection with that contract.

Legal and accounting obligations

We retain information about purchases and payments where this is necessary to meet legal, tax, accounting or regulatory obligations.

Waiting-list and email subscriptions

Where you actively choose to subscribe through Substack, we use your information to provide the subscription you requested.

Where our use of your information relies on your consent, you may withdraw that consent at any time, for example by unsubscribing.

Contact enquiries

We use information submitted through our contact form where necessary for our legitimate interest in communicating with people who contact The Liberation Club and responding to their enquiries.

Website operation and security

We may process limited technical information where necessary for our legitimate interests in operating and protecting our website, preventing misuse and maintaining the security of our systems.

Where we rely on legitimate interests, we consider those interests against the rights and interests of the people whose information we process.

Who we share information with

We use a small number of external services to operate The Liberation Club.

Krystal Hosting

Our website is hosted by Krystal Hosting Ltd. Information stored through our WordPress website, including contact-form submissions and purchase records, is therefore stored and processed using Krystal's hosting infrastructure.

Stripe

We use Stripe to process payments. Stripe receives information needed to process and administer payment transactions and collects payment details directly from purchasers.

Substack

We use Substack to manage the waiting list and email subscriptions. When you subscribe using Substack, your subscription information is processed through Substack's systems.

Google and Gmail

We currently use Gmail to receive and manage email communications, including messages generated by our website contact form.

Google may therefore process information contained in communications sent to or from The Liberation Club.

Our website may also use Google services or resources where described in our Cookie Notice.

YouTube

We may embed videos hosted by YouTube on our website.

Loading or interacting with embedded YouTube content may allow Google/YouTube to receive technical information about your device and interaction with the embedded service. Further information is provided in our Cookie Notice.

Other disclosures

We may also disclose personal information where reasonably necessary to professional advisers such as accountants or legal advisers, or where disclosure is required by law, a court, regulator or other competent authority.

International processing

Some of the services we use operate internationally, including Stripe, Substack and Google. This means personal information may sometimes be processed outside the United Kingdom.

Where UK data-protection law treats such processing as a restricted international transfer, the transfer must be covered by an applicable UK adequacy regulation, an appropriate safeguard such as approved contractual provisions, or another mechanism permitted by UK law.

How long we keep information

We keep personal information only for as long as it is reasonably required for the purpose for which we collected it, taking account of any legal obligations we have.

Contact enquiries

Contact-form submissions and related email correspondence are retained for as long as reasonably necessary to respond to the enquiry, manage any resulting relationship, resolve disputes or meet applicable legal requirements.

We may delete enquiries that no longer serve a useful or legal purpose.

Purchases and accounting records

Records required for company accounting and tax purposes are normally retained for at least the period required by law. For UK limited companies, relevant accounting records generally need to be retained for six years from the end of the financial year to which they relate, with longer periods applying in some circumstances.

Digital publication access

We may retain limited information identifying a purchase for longer than the accounting retention period where this is necessary to continue providing access or access-recovery facilities for something you have bought.

Waiting-list and subscription information

Subscription information is normally retained while you remain subscribed.

If you unsubscribe, Substack and/or The Liberation Club may retain limited information where necessary to record and respect your unsubscribe request or meet legal requirements.

Technical and security information

Technical logs and security information are kept only for periods reasonably necessary for website operation, security, troubleshooting and legal requirements.

Keeping information secure

We take reasonable technical and organisational measures intended to protect personal information against unauthorised access, alteration, disclosure, loss or destruction.

We also use service providers whose systems perform important parts of the storage, payment, communications and delivery processes described in this notice.

No internet-based system can guarantee absolute security.

Your rights

Depending on the circumstances and the reason we process your information, UK data-protection law may give you rights to:

• ask for access to personal information we hold about you;
• ask us to correct inaccurate or incomplete information;
• ask us to erase personal information in certain circumstances;
• ask us to restrict how information is used in certain circumstances;
• object to certain uses of your information;
• receive certain information you have provided to us in a portable format;
• withdraw consent where our processing is based on consent; and
• make a complaint about the way we process your personal information.

These rights are not absolute in every situation. For example, we may need to retain transaction information despite an erasure request where we have a legal obligation to keep accounting records.
